How to Compare Oilfield Equipment Quotations Line by Line

Do Not Start With the Total Price

Two quotations can show the same equipment name while covering different ratings, materials, accessories, inspection levels and delivery terms. Start by building a compliance matrix against the issued RFQ. Compare one BOQ line at a time and record each bidder response as compliant, deviating, excluded or unclear. Only compare prices after technical scope has been normalized.

Technical Comparison Columns

• Offered manufacturer, model and country of origin
• Governing standard and proposed edition
• Size, bore, pressure or load rating
• Material, temperature range and service limitations
• Connection, thread and mating dimensions
• Included accessories, spares and special tools
• Drawing and data-sheet status
• Required tests, certificates and manufacturing record book

Never convert a blank supplier cell into an assumed compliance. Ask for written clarification and keep the answer with the quotation revision. For replacement spares, require a compatibility statement against the submitted part number, nameplate and dimensions.

Normalize Units and Quantities

Convert pressure, length, weight, torque and volume into one comparison unit. Check whether quantity means individual pieces, pairs, sets, assemblies or packages. Verify that each quotation includes the same number of seals, studs, gaskets, controls and mandatory spares. A low unit price can hide missing scope.

Compare Delivery Correctly

Separate manufacturing lead time, document approval time, inspection notification, packing, inland transport, main freight and destination handling. Record the exact Incoterms rule and named place. FOB at one port is not directly comparable with CIF at another destination unless freight, insurance and risk transfer are normalized.

Commercial and Lifecycle Review

Compare currency, payment terms, quotation validity, warranty start point, taxes, freight, bank charges and liquidated-damage terms. For equipment with replaceable wear parts, also compare recommended spares, part availability, interchangeability evidence and technical support. The cheapest initial quote may not be the lowest evaluated cost.

Resolve Deviations Before Award

Create a final clarification sheet listing open technical and commercial items. Require the selected bidder to return an agreed version and incorporate it into the purchase order. Preserve the original RFQ, all revisions, clarification messages and the accepted quotation as one contract record.

Verification before quotation

Use the article as an RFQ-preparation reference, not as a substitute for the governing project specification. Confirm the standard edition, equipment model, service conditions, dimensional interfaces, required certification scope and final manufacturer datasheet. For replacement parts, attach the nameplate, original part number and measured dimensions.
