How to Prepare an Oilfield Equipment BOQ for Supplier Quotation

Why BOQ Structure Matters

A bill of quantities is more than a list of product names. For oilfield equipment, each line should give the supplier enough information to identify the correct design basis, size, rating, material, interface and document package. A vague line such as gate valve, 4 pieces creates several possible products and makes prices difficult to compare. A quotation-ready line tells every bidder what must be included.

Use One Item Per Technical Configuration

Do not combine different sizes, ratings or materials in one row. Give every configuration a unique item number. If the same valve is required in 5,000 psi and 10,000 psi versions, use two lines. Keep required spares, special tools and commissioning items on separate lines so their price and lead time remain visible.

Minimum Columns

• •Item number and clear equipment name
• •Quantity and unit of measure
• •Governing API, ISO, purchaser or drawing reference
• •Nominal size, bore, pressure or load rating
• •Material grade or class and temperature or service condition
• •End connection, thread or mating interface
• •Required inspection, testing and quality documents
• •Destination, packing requirement and requested delivery date

For replacement parts, add manufacturer, equipment model, serial number, part number, nameplate photo and measured dimensions. State whether OEM-only, OEM-equivalent or technically compatible aftermarket supply is acceptable.

Separate Technical and Commercial Assumptions

Add a notes column for permitted deviations, but do not let suppliers silently replace specified requirements. Ask every bidder to list exclusions and deviations in a separate schedule. Define the Incoterms rule with its named place, the currency, quotation validity and whether freight, insurance, inspection and taxes are included.

Attach Supporting Files

Reference every drawing, data sheet, photo and document by a stable file name and revision. A simple attachment register prevents a supplier from quoting against an obsolete drawing. For assemblies, include the expected scope boundary: mating flanges, bolts, gaskets, controls, skid, hoses, guards, certificates and spare parts.

Final RFQ Check

Before issuing the RFQ, confirm that units are consistent, quantities total correctly, each standard reference has an edition or contractual method for confirming it, and every mandatory document is named.
