API Standard Edition and Document Checks Before an Oilfield Order

A Designation Alone Is Incomplete
Writing API 6A or API 7K in an RFQ identifies a specification family but may not define the full contract basis. Standards change, and API can publish new editions, addenda, errata or special notices. The purchaser should establish which edition and amendments govern the order and ensure that the supplier quotation uses the same basis.
Check the Official Source
Use API's official standards pages and latest-updates resources rather than relying on a search snippet, old supplier catalog or an uncontrolled PDF. Record the date of the check and the exact designation. If a standard is licensed or paywalled, do not ask a supplier to send an unauthorized copy; instead, make sure the relevant parties have legitimate access.
Define the Complete Requirement Set
Many equipment RFQs also need purchaser specifications, data sheets, drawings, service conditions and local regulations. For wellhead and pressure-control equipment, fields can include working pressure, nominal size, material class, temperature class, PSL, performance requirement, end connections and test documentation. For hoisting equipment, rated load, tubular size, inspection category and traceability may be decisive.
Verify Supplier Claims
A statement that a product is built to API is different from an active API Monogram license covering that product at the named manufacturing location. When the contract requires licensing, verify the organization, facility and scope using official API resources. Save the result with the bid evaluation. Certification for one product family does not automatically extend to another.
Resolve Conflicts Before the Purchase Order
List all referenced documents in order of precedence. If a purchaser drawing conflicts with a standard or supplier proposal, obtain written engineering resolution before award. Ask the bidder to identify every deviation, exclusion and proposed substitution. Update the quotation when a clarification changes technical scope, price or lead time.
Final Document Register
Create a register showing the required procedure, drawing, material report, inspection report, test record, certificate and shipping document. Assign submission and approval stages. Connect final records to purchase-order items, serial numbers and heat numbers where required. Do not release equipment solely because the physical item is complete when mandatory records remain missing.
RFQ Checklist
State the standard designation, contractual edition method, required specification levels, purchaser documents and required records. Verify current API updates at order placement and again when a long manufacturing schedule makes a change relevant to the contract.
