Shipping Data Changes the Evaluated Cost

Heavy valves, tubular tools, pump modules and long rig parts can create freight and handling costs that are not visible in an equipment unit price. Ask suppliers for preliminary package information with the quotation and final packing data before shipment. State whether the equipment will travel by courier, air, container, breakbulk or another approved method.

Data Required for Every Package

• Package number and shipping mark
• External length, width and height with units
• Gross weight and net weight
• Quantity and item numbers inside the package
• Centre of gravity and lifting points when relevant
• Stackability and outdoor-storage limitations
• Dangerous-goods status and supporting declarations if applicable
• Case, skid, pallet or bundle construction

Use the Shipping CBM Calculator to total external cubic metres and gross weight, but confirm dimensions after final packing. The calculator does not estimate carrier chargeable weight, container loading, lashing, port restrictions or freight price.

Preservation and Protection

Define the expected transport route, storage environment and preservation duration. Pressure openings and machined faces normally need robust covers. Threads need correct protectors. Loose parts should be bagged, tagged and matched to the packing list. Sensitive instruments may need shock, tilt, moisture or temperature controls. Wooden packing may be subject to destination phytosanitary rules, so confirm current importing-country requirements before manufacture of cases.

Marks and Documents

Package marks should match the purchase order and packing list without exposing unnecessary sensitive information. The commercial invoice, packing list and transport documents must agree on quantities, weights and package count. Keep technical certificates and manufacturing records indexed separately, even if copies travel with the cargo.

Define the Delivery Term Precisely

Write the Incoterms rule, named place and edition. EXW, FOB, CIF and DAP allocate costs and risks differently. A quotation that says only freight included is not clear enough. Ask who handles export clearance, main carriage, insurance, destination charges, unloading and import clearance.

Final Release Check

Compare final packing dimensions with the quotation and freight booking. Review photographs of open cases, preserved items, internal blocking, closed cases, marks and loaded containers. Check that lifting points remain accessible and that no package exceeds site or carrier handling limits.

RFQ Checklist

Include destination, preferred delivery term, transport mode, storage duration, packing material restrictions and documentation needs. Ask suppliers to quote export packing separately and provide a final package schedule before dispatch.

Verification before quotation

Use the article as an RFQ-preparation reference, not as a substitute for the governing project specification. Confirm the standard edition, equipment model, service conditions, dimensional interfaces, required certification scope and final manufacturer datasheet. For replacement parts, attach the nameplate, original part number and measured dimensions.

• Required test reports, inspection records and traceability
